POSITION SUMMARY  

The Project Coordinator proactively manages the day-to-day job tracking and trafficking to appropriate creative resources and project owners for all regional projects that require Creative Services resources. S/he is responsible for vetting all incoming requests and ensuring all needed assets are included – working with the client to gather any missing information. This position is responsible for scheduling these projects with the needed resources via a project management system, creating and communicating project timelines, and ushering each project through the creative life cycle. Other daily tasks including ensuring all proofs address the client’s request before sending back to the clients for feedback and edits. The coordinator is also the lead point person for all regional marketing concerns – fielding questions and guiding them through their marketing needs.

This position also manages vendor relationships for production of local promotional items, as requested by the field; including gathering quotes, trafficking files to vendors and ensuring final products are shipped and billed correctly.  

Candidate must be able to work in a fast-paced and ever-changing environment.  The ideal candidate will be able to multi-task easily, juggling multiple projects at a time and have exceptional customer-service skills. Qualified candidates will have a strong knowledge and understanding of both print and web media. The coordinator should be comfortable working with people at all levels, and have the ability to build strong working relationships.  Preference will be given to candidates who have experience with Adobe Creative Suite and Workamajig project management system.

JOB RESPONSIBILITIES  

  1. Vet new projects and ensure all needed assets are provided and determine needed resources to complete the project.
  1. Using project management tools, establish timelines, assign needed resources and follow the project through the entire creative life cycle – ensuring milestones and deadlines are being met.
  1. Work with clients to anticipate hiccups and proactively find solutions before they become problems.
  1. Manage vendor relationships and quote regional promotional jobs.
  1. Pull reports as needed and disseminate to necessary parties.
  1. Perform various customer service asks as needed to guide regional clients through their marketing needs.
  1. Traffic deliverables as needed to clients for feedback/approval and to final destinations when complete.
  1. Schedule and attend various project and department meetings, such as kick off and status meetings.
  1. Serve as backup for traffic & production manager as needed during especially busy times .

 

REQUIRED EXPERIENCE & EDUCATION

  1. Bachelors degree in marketing, advertising or related field experience.
  1. 2-3 years project management experience in either a traditional agency or in-house marketing environment.
  1. Working knowledge of project management systems and tools – preferably Workamajig.
